The Purpose

Employees who hold positions that include the need for communication outside of “normal” business hours or when the employee is away from the office may receive a monthly cell phone stipend to reimburse them for this business-related cost.  Generally positions that will require this type of communication are Drivers, Managers, Sales Staff, and Production Staff. The monthly reimbursement or stipend will be treated as a non-taxable item to the employee. The Company will review and set the amounts to be provided for stipends and reimbursement on an annual basis. Monthly stipends will be paid at the end of each month.

Employee Responsibilities

Recipients of a cell phone stipend have the following responsibilities:

  • The employee is responsible for plan choices and devices, service features, and calling areas that meet the requirements of the job and the area of service the stipend is intended to cover.  This includes termination clauses, late fees, and paying all charges associated with the cellular service and device.
  • Report any reduction in service level in the wireless contract that result in fees that are below the reimbursed amount.
  • Employee agrees to carry the cell phone with them, keep it charged and in operational condition at all times, use it appropriately, and be accessible for business use as required.
  • Employee is required to present a copy of the cell phone bill on an annual basis to determine the amount of the monthly stipend.
  • Employees are expected to follow applicable local, state, and federal laws and regulations regarding the use of cellphones at all times.  Regardless of the circumstances employees are required to use hands-free operations or pull off to the side of the road and safely stop the vehicle before placing or accepting a call.  Reading or sending emails and text messages while driving is strictly prohibited. Safety must come before all other concerns.
  • Employees are required to be professional at all times when using personal cell phones for business purposes
